Introduction

EmailAction ("the App," "we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we handle your information when you use our mobile email client application.

Information We Collect

• User-Provided Information: By default, the App does not collect or transmit your personal information to any external server. All emails, queries, rules, and actions remain on your device unless you explicitly enable cloud sync (see below).
• Email Address (Required for Notifications): To enable real-time Gmail notifications via Google Pub/Sub, your email address is transmitted and securely stored in Firebase. No email content is shared for this purpose.
• Rules and Queries (Optional Sync): By default, all rules, saved queries, and sender information remain stored locally. If you enable the optional cloud sync feature, these items (including sender email addresses in rules) are stored securely in Firebase for backup and cross-device access. This feature is off by default and can be disabled anytime.
• Automatically Collected Information: The App does not automatically collect or track analytics, user behavior, or email content.
• Permissions: The App may request access to your email accounts, contacts, and storage. These permissions are used solely for core features (aggregating email information, sender/domain actions, managing folders, creating rules, and saving queries) and are never stored or transmitted outside your device (except as noted above for optional sync and notifications).

How We Use Your Information

Your email address is used only to manage Gmail Pub/Sub notifications. Your rules and queries are uploaded to Firebase only if you enable cloud sync. We do not sell, rent, or use your information for advertising or analytics. All other processing and storage (including emails, folder changes, rules, and queries) occurs locally on your device using Realm Database.

Third-Party Services

The App uses third-party services solely to provide functionality:

• Firebase (for Gmail Pub/Sub notifications and optional rule/query cloud sync)
• Gmail API and Google Sign-In (to securely access your email account)

Security

All local data is stored using Realm Database, with encryption where supported. Data stored in Firebase is protected by authentication and security rules. We do not transmit or store email content on our servers, minimizing external risks. Please secure your device with a passcode or biometric lock for additional protection.

Data Protection & Encryption

To further safeguard your information, all sensitive data stored locally (including emails, attachments, and associated metadata) is encrypted using AES-256 encryption. The encryption key is securely generated and stored via the Android Keystore system, ensuring hardware-backed protection and preventing unauthorized access, even on rooted devices.

In addition, all communication between the App and third-party services (such as Gmail and Firebase) is encrypted using HTTPS/TLS. Combined with Android’s built-in File-Based Encryption (FBE), this ensures that your data remains protected at rest and in transit.

Your Rights (GDPR & CCPA)

If you are in the EU or California, you have the right to:

• Request a copy of any data stored on Firebase (email ID, rules, and queries).
• Request deletion of your data from Firebase.
• Disable cloud sync and ensure all data remains local.

Children’s Privacy

We do not knowingly collect personal information from children under 13. If you are under 13, please use the App only with parental or guardian consent.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time. If significant changes are made, we will notify you within the App or via other appropriate means.
